Position Summary

The Associate Project Manager (APM) serves as a critical engine for our project delivery team. This role supports the planning, tracking, and execution of experiential marketing campaigns from initial concept through final wrap-up. Ideal for a highly organized, proactive coordinator, this position offers a direct path to growth by working cross-functionally with our creative, fabrication, and account teams to deliver premium results.

Key Responsibilities

Project Administration & Logistics

  • Timeline & Budget Support: Assist in managing day-to-day project timelines, milestones, and budgets under the direction of senior project leadership.
  • Documentation: Help draft and maintain essential project documentation, including Scopes of Work (SOWs), project plans, run-of-shows, and post-event wrap reports.
  • Asset Organization: Maintain centralized project files, ensuring all digital assets, client approvals, and compliance documentation are organized and accessible.

Cross-Functional Coordination

  • Communication: Serve as a central hub for internal team scheduling, vendor correspondence, and cross-departmental status updates.
  • Financial Tracking: Manage vendor invoices, track team expense reports, and assist with end-of-project financial reconciliations to protect project margins.
  • Risk Management: Monitor active project tasks to flag potential timeline bottlenecks or logistical risks before they impact delivery.

Onsite Execution

  • Event Operations: Support onsite execution of local and national events, managing local logistics, load-in/load-out schedules, and asset deployment.
  • Team & Client Interaction: Assist with onsite staffing coordination and provide professional, front-line support to clients and brand ambassadors during live activations.

Qualifications

  • Experience: 1–3 years of experience in project coordination, event production, or agency-side experiential marketing.
  • Skills: Exceptional time-management skills with a proven track record of balancing multiple shifting priorities simultaneously.
  • Tools: Proficiency in Google Workspace, Microsoft Office Suite, and familiarity with modern project management software (e.g., Asana, Monday.com, or Smartsheet).
  • Communication: Excellent written and verbal communication skills, comfortable interacting with corporate clients and field staff alike.
  • Travel: Ability and willingness to travel for onsite event execution as needed (up to 25%).
